Logistical and Event Management Services in Batumi, Georgia

This is an invitation for logistic and/or event management agencies/organizations to express their interest and provide proposal for the servicies detailed below.

Date of the meeting: February, 20-22, 2017

Location: Batumi, Georgia

Approximate number of participants: 100 individuals.

Method of Selection: Least Cost Selection

The list of services:

  • 2 logistic managers for the whole period  of the Meeting (including arrival/departure days);
  • Accommodation for 100 persons in the single, standard rooms preferably in the same location where the meetings will be held as well. Accomodation should include extra days to accomodate different arrivale schedule (Feb 19 and 23; details will be proivded later); Preferably all guests should be in the same hotel.
  • The conference hall (including multimedia, few microphones, flipcharts, etc.) on February 20 - 22, 2017, suitable for 90 persons;
  • 3 to 4 small rooms (accomodating 20-30 person) for Work-group meetings on Fenbruary 21 and 22, (large conference hall and the smaller meeting rooms will not be used simulteniously and potentially, can be arranaged at the same location);
  • Dinner, lunch and 2 coffee breaks per each Meeting day;
  • Dinner, lunch for the participants of the Meeting on the arrival/departure days;
  • Formal dinner with cultural program
  • Transportation while in Batumi (at least one trip within Adjara for all participants and daily trips for smaller groups withing Batumi);
  • Transfer from/to airport (Batumi airport and Kutaisi airport);
  • Support for printing and transportation of visual materials (like banners and posters) for the evening.

Pre-qualification criteria for the candidates:

  • Experience organizing large scale events in Georgia (20 points);
  • Expirience organazing events involving iternational travellares and participants (40 points);
  • Accommodation, conference hall in the same hotel for all the participants (40 points).

Participants must submit the folowing documents:

  • Bid Application Form (please find the file attached)
  • A copy of proof of registration of the company (in russian/english)
  • The candidates should be able to provide the bills in EUR or USD.
